Simple setup instead of tool chaos

With over 300 invoices per month, awork faces a significant administrative burden. As is common in many companies that rely solely on DATEV for invoice processing, Vicky—Operations Manager at awork—spent a great deal of time entering and processing incoming invoices. Transactions and invoices had to be manually matched, and the large number of different tools and monthly subscriptions meant it was easy to lose track of everything. This quickly led to a desire to make processes more efficient and future-proof, not only to save time but also to free up capacity for more strategically important tasks.

A lack of visibility, high manual effort and time consumption, as well as the desire for more cards and a tool capable of mapping different cost centers and custom approval processes, led awork to finway.

What are the benefits of finway?

The introduction of finway has significantly improved internal collaboration on invoice collection. Thanks to the virtual, centrally managed debit cards, awork employees can see at any time who still needs to submit a receipt. The automatic notifications ensure that the entire process is straightforward and usually completed very quickly. Thanks to the approval processes, the responsible cost center managers also always have a clear overview of their budgets and expenses.

The clear user interface and intuitive design make working with the tool a particularly pleasant and efficient experience. At the same time, maintenance is quick and straightforward – whether you’re adding new cost centers, customizing approval processes, or creating additional cards. And if you do have any questions, the support team is always available to provide fast and expert assistance!

Who at awork uses finway? About 25% of the workforce. Mainly management, team leads, and the Operations & Office teams.

How do people use finway? It varies greatly.

All members of management and team leads have their own finway debit cards, which they can use to make purchases within their predefined budgets. These are typically used for subscriptions and tools within their departments, but can also be used for business travel and entertainment expenses, for example. The relevant receipts are then uploaded to finway by the respective individuals. When on the go, this is very easy to do using the finway app.

Vicky is the only power user at awork who uses finway on a daily basis. Her main tasks include daily invoice entry, importing incoming and outgoing payments, and monitoring transaction matching. This allows her to see immediately where receipts are missing and know right away where she needs to follow up. For the monthly closing, which she prepares together with her tax advisor, she exports all invoices to DATEV. Here, the card statement (the Wallet) also offers a major benefit, as it is very clear and can be exported in the required format with a single click.

The biggest game-changer when working with finway? The approval process.

As soon as invoices are entered and cost centers are assigned, the workflow configured in finway is triggered. This sends a notification to the relevant employees that an invoice addressed to them or their cost center is ready for approval. This not only saves a tremendous amount of time but, above all, makes Vicky’s job much easier: she always has complete transparency—who needs to approve it, and who is responsible? This ensures that the documents can be submitted to the tax advisor on time and in full.

The support at finway is really top-notch!

What Vicky particularly appreciates about working with finway is the support. Whenever she does need to contact support, she knows that response times are quick and help is always on hand. What stands out for her is that at finway, there’s always a personal point of contact—you’re not communicating with an AI, as is already the case at some companies. You also get a quick update every now and then if something takes a little longer. It’s always a positive exchange.

The onboarding process also left a positive impression. The finway Customer Success Team guided awork through every step of the way. Regular meetings and coordination helped resolve any questions quickly.

Work without finway? Chaos!

Work without finway? Vicky can’t even imagine that anymore.

Many processes would have to be handled manually again, which would tie up an enormous amount of time and resources. It would take a while before they had a functioning workflow again.

I would especially recommend finway to companies that handle a high volume of transactions and use multiple virtual debit cards, and that want to connect their bank accounts and reconcile transactions directly to ensure maximum efficiency and speed. It’s also particularly valuable for teams that need to see at a glance which receipts are still missing and who is responsible for them, in order to keep everything up to date. With finway, you can definitely keep track of everything. The various integrations are definitely a plus as well (DATEV, Personio, etc.).
